Booking & Payment Policy

 

At Hot-Air Luxury Designs, we aim to make your event planning experience seamless and stress-free. To ensure clarity for both our clients and our team, please review the following booking and payment policies before securing your décor services.

Booking

A 50% non-refundable deposit is required to secure all bookings. No date is considered confirmed until the deposit is received.
 

Final payment is due 2 business days prior to the event.
 

Bookings made within 48 hours of the event date will incur a $50 late booking fee. Bookings made within 24 hours will incur a $75 late booking fee.
 

All late bookings must be paid in full at the time of booking.
 

Any jobs over $200 may include additional labor charges, depending on scale and complexity.
 

Outside events will accrue an outside installation fee due to the additional supplies and materials required to secure décor against weather conditions and other outdoor elements.
 

If your event requires a mock-up, a separate mock-up charge will apply.
 

Clients must ensure the setup space is cleared, accessible, and free of hazards (including animals). If the environment is unsafe, Hot-Air Luxury Designs reserves the right to decline service without refund.
 

Bookings made with less than 2 weeks’ notice may not guarantee the exact balloon colors or styles requested. Due to limited supply availability in Bermuda, substitutions may be necessary.
 

Payments

Acceptable payment methods are bank transfer or cash.
 

We do not accept checks.
 

The 50% deposit is non-refundable but may be transferable to another date (subject to availability).
 

Cancellations made less than 7 days before the event will forfeit all payments made.
 

In the event of rescheduling, Hot-Air Luxury Designs will make every effort to accommodate, but availability cannot be guaranteed.
 

Late Payment Fee

Final balance must be paid 2 business days prior to the event date.
 

Payments not received by this deadline will incur a late payment fee of $50.
 

If payment remains outstanding within 24 hours of the event, Hot-Air Luxury Designs reserves the right to cancel the booking without refund.
 

Additional Notes

We prefer to provide all balloons for installations to ensure quality and durability. If you insist on supplying your own balloons, our pricing remains the same.
 

Clients are responsible for ensuring all décor items (such as panel boards, shimmer walls, and rentals) are returned in their original condition. Any damages or missing items will result in replacement fees.
 

Breakdown/removal service can be arranged for an additional fee if required.

 

 

Rental Policy

 

1. Rental Agreement

All rentals are the property of Hot-Air Luxury Designs. By renting from us, the client agrees to be fully responsible for the care, safekeeping, and timely return of all rented items.


2. Rental Period

Rental time begins once the items are delivered or picked up and ends once they are collected or returned.
Late returns will incur a late fee of $50 per day, unless prior arrangements have been made.


3. Delivery, Setup & Pickup

Delivery and setup fees are based on location and event requirements.
Pickup will be scheduled at the time of booking. Outside installations may incur an additional fee due to weatherproofing and setup considerations.


4. Damage, Loss, or Theft

Clients are responsible for the full replacement value of any item that is damaged, lost, or stolen during the rental period.
A damage inspection will be completed upon return or collection. Any fees will be invoiced accordingly.


5. Cleaning & Condition

All rented items must be returned in the same condition they were received.
Excessive dirt, tape, or residue may result in a cleaning fee of $25–$75, depending on the severity.


6. Payment

A 50% non-refundable deposit is required to secure your rental.
Final payment is due two business days prior to the event.
Late or last-minute bookings must be paid in full immediately to confirm.


7. Cancellations

Deposits are non-refundable.
Cancellations made less than 7 days before the event will be charged the full rental amount.


8. Weather Policy

Hot-Air Luxury Designs is not responsible for weather-related damages once items are installed.
Outdoor setups are done at the client’s risk unless an indoor backup location is confirmed.


9. Usage Restrictions

Balloons and décor elements are not included with rental panels unless stated.

Do not apply tape, glue, or pins directly onto rental panels or walls.

No painting, drilling, or structural modification of rental pieces is permitted.
 

10. Liability

Hot-Air Luxury Designs is not liable for injury, accident, or property damage that may occur during or after the use of rented items.
